If you’re like us, maintaining clean and up-to-date customer records is quite a challenge. Whether it’s old sales leads from a conference, a contact import that went sideways, or just some test projects your team created - there’s always more housekeeping to be done..
We recognize that the first step in this housekeeping is to identify all the records that can be safely deleted. To facilitate this, we've just shipped the first phase of our Bulk Editing features: Selecting records from a list screen for bulk deletion.
As an admin user, the next time you’re looking at a list in Accelo, look for the subtle “Edit” link next to the count of results. Clicking this will switch you into Bulk Edit mode.
Note that when in Edit mode, you won’t be able to use the filters to refine your list. Click “Cancel Edit” if you need to finish filtering and then return to Edit mode when ready.
When in Edit mode, you’ll notice a checkbox against each record in the list. Use this to select that record for bulk editing. You can also use the checkbox in the title row to select all on the current page, or select all in the result set. As you’d expect, you can move to the next page and we’ll keep track of the records you’ve checked on the previous page.
Once you start selecting some records you will notice a Delete button appear above the list. At the moment, this is the only bulk editing feature available - but in the coming weeks we’ll introduce the ability to bulk modify category fields and custom fields, update assignee/manager, adjust privacy/relationships and more!
When you are ready, hit the Delete button to proceed. You’ll be asked to confirm, since deleting things in bulk deserves extra caution! The system will add your delete request into the queue - which means it might be a few minutes until we actually start deleting those records. A modal window will open which helps you track the progress of your changes. Note there may be other bulk edit/delete operations in progress which is why yours hasn’t started yet.
You can continue using the list screen and filters while the bulk edit/delete is running, but you may find records disappearing before your eyes! To help avoid confusion for you and your team, if any users have a bulk edit/delete operation in progress, this will indicated at the top of the list. Any user can click this link to open the progress modal.
The user who requested the deletion will also be sent an email confirmation once the process is complete.
For this release, bulk delete is available for the following modules:
As you’d expect, to access the Bulk Edit mode a user must have admin level access OR be granted permission via a new Bulk Delete permission under each module. E.g. for Companies & Contacts, this permission can be found under Permissions > Companies, Contacts & Affiliations > Admin > Bulk Delete Companies & Contacts
